The well-known Ukrainian digital agency “Lux Site”. They have been working on the market for 14 years and have more than 1000 successful projects from Ukraine, USA, Canada and Australia. The team includes more than 30 experienced specialists from all digital areas.
LuxSite provide services in both integrated marketing and SEO promotion, PPC (contextual advertising), social media management (SMM), design, business packaging, content creation and copywriting. How did the customer find out about us?
The founder and CEO of ToDo, Oleksiy Bardakov, presented the Odoo system at one of the events organized by the Young Business Club, whose members include our director and founder of LuxSite, Oleksandr Lyakhovets.
How did LuxSite choose Odoo and why?
The customer had a clear request – to implement an ERP system, not just another CRM. According to Maria Prukhnitskaya, COO LuxSite: “Odoo seemed like a good solution to us after the product was presented personally by Oleksiy Bardakov”, “First of all, we liked the comprehensive solution and the ability to customize the software for ourselves.”
What tasks did LuxSite plan to solve using automation?
Our cooperation began with identifying the tasks that needed to be solved. These turned out to be the following: systematization of company processes, recording team time costs, calculating the cost of work, income and profit, recording expenses, determining the profitability of services, maintaining a database of potential clients, and a high-quality recruiting and staffing database.
What business processes did we automate for the customer thanks to Odoo?
Currently, processes such as sales and projects have been optimized using the “CRM” module and the “Project Management” module. LuxSite plans to continue automating accounting, recruiting, and working with partners.
Results of cooperation
The implemented “CRM” module remained almost unchanged and without any modifications, because it completely satisfied the customer in its basic form.
But it should be noted that the CRM module in Odoo, even in its basic form, is a very good choice, because it perfectly combines a clear interface, customizable fields, integrations with Telegram, Viber, WhatsApp, IP telephony, and other Odoo modules, which together form an entire ecosystem.
The process of maintaining a customer base and working with them has been modernized and systematized.
Now, an authorized employee schedules calls, meetings, mailings, or proposals, and Odoo automatically plans the next step based on the given sales scenario.
The client's card contains a complete history not only of personal data, but also of all actions. From appointments and orders to correspondence, calls, and invoices.
CRM has convenient automatic lead management, and most importantly, predictive evaluation. Odoo calculates the probability of success based on several criteria, including taking into account previous results.
We have made a number of improvements: sorting by the person responsible for a specific task – for the “Project Management” module; improvements that eliminate the possibility of duplication of projects and tasks in the system;
We implemented a flexible access configuration system for the customer, which he can edit himself both for each employee individually and for entire groups of users at the same time. This is our personal development, which was carried out using the Python programming language.
The customer wanted to simplify the process of calculating hours worked on tasks for their employees as much as possible, but this led to increased risks. Therefore, the task was to limit the ability to work with timesheets for the customer's employees, which was implemented using flexible access.
Another module was integrated into the “Project Management” module – “Gantt Chart”, which allows you to visualize the work plan/schedule for any project. The integration of this module turned out to be quite a difficult task, but we still managed to cope with it and currently the “Gantt Chart” is in the testing stage. Also, this module was further developed to meet the needs of the customer.
During our cooperation with LuxSite, we can say that we found not only a customer, but also a good friend and partner. Our intermediate stage of cooperation ended with the conclusion of a contract with LuxSite, under which they provide us with marketing services. Now we exchange experience and help each other become better and better.
We, for our part, continue implementing Odoo for LuxSite, testing the already implemented and configuring new modules, while they work on improving digital marketing in ToDo.
With the help of Odoo and the work of our team, LuxSite began automating the processes that were planned at the beginning of the cooperation. Yes, there were minor errors regarding the planned deadlines and budget, but there were no issues with the functionality of the system itself.
We remind you once again - LuxSite automation was and will continue to be based on the Belgian ERP systems Odoo, which has a very convenient and flexible structure that allows you to customize the software to your needs (and this was noted by LuxSite), scales in parallel with your business and is constantly updated and supported by developers.
